What do I have to do to get set up for direct billing?
There is paperwork that needs to be filled in, which can be found on our Forms page. Because it takes time to enter new people into the billing system, we prefer to receive this information at least one day prior to your treatment.

What information do you need?
The system requires your first and last name, insurance company, policy and member numbers, gender, and birthday. If the policy is through another family member, we also will need their full name and birthday. If we are direct billing for a child, we need all the above information for the parents as well as the child, and their birth order number (first, second, third, etc).

I can’t make it in before my treatment. Do you really need this information earlier?
It is preferable to have the billing information prior to treatment. It takes some time to enter new people into the system, which we do not necessarily have available between clients. We value our client’s time and work very hard to be punctual for our scheduled treatment times. We can take the information over the phone, or through email. You would still need to sign the paperwork at the time of your treatment, but we can at least have you entered into the system already.

Which companies can you direct bill for?
The list of insurance companies set up for direct billing is actually quite long, and changes often as more companies sign up. The following insurance companies allow direct billing:

Are all policies accepted?
We can direct bill for most policies, but not all. Certain policies are set up specifically by the purchasing company to not allow third parties (like us) to submit electronically. Some policies don’t even allow electronic submissions at all, such as those for Federal employees. It will all depend on your specific policy if we can bill for you or not.

How do I know if my policy is set up for direct billing?
You can read your policy, ask your insurance agent, or in some cases we may be able to run your information through the system prior to treatment. We cannot guarantee that the coverage is available, however. We can always try to direct bill at the time of your treatment, but recommend clients bring in an alternate form of payment, just in case.

What if you can’t direct bill for me, but I have insurance?
Then we would ask you to pay at the time of treatment, and you would receive a receipt that you can submit yourself.

I am covered for only a percentage. What happens to the difference?
You would be responsible to pay the remaining portion yourself. You will receive a receipt that indicates how much you paid and how much was covered by insurance.

My spouse and I are both covered for a percentage, but together are completely covered. Can you bill both companies so we don’t owe anything?
No, sorry. The system is not set up to allow us to bill two policies for a single treatment. We will direct bill what we can and you would pay for the remainder at the time of the treatment. You will receive a receipt detailing what was paid by insurance and what you paid, which you could then submit yourself to the second policy.

My spouse and I each have a policy that cover us both. Does it matter which policy we use first?
You use your own policy first, then your spouse’s second. For children, the system is set up so that the parent with the first birthday in the year will have their policy used first.

I have run out of coverage for the year. Can you direct bill under my spouse’s name instead?
No. That would be insurance fraud, and we would be heavily penalized.

Will I still get a receipt if I use direct billing?
You will. It will reflect how much was paid for by insurance. It is important to keep these in case you are ever audited by the insurance company.
